Aspengrove School: Aspengrove School, a 40-acre rural campus, is inviting applications from passionate, enthusiastic and experienced Front Desk Administrators. Aspengrove School is a place where students, and staff work together to explore the opportunities of the International Baccalaureate curriculum, through their passions as learners and members of a strong community.

Position: The Front Desk Administrator’s position is one of great responsibility. You will be the front line contact for all school visitors as well as a support to staff. Taking phone calls and scheduling, thinking fast and solving problems, and providing excellent customer service is an important part of this position. This position is Monday to Friday, 8 am to 4 pm.

Responsibilities:

General front office duties:

  • Responding to phone, email, and in-person inquiries
  • Purchasing and receiving office, school, and classroom supplies
  • Receiving and distributing mail
  • Maintain confidential and sensitive information
  • Provide compassionate care to students and families

Students:

  • Minor First Aid support for students
  • Managing daily student attendance
  • Scheduling and coordinating bus routes and driver schedules
  • Scheduling and managing school photos, immunizations, uniforms
  • Supporting hot lunch program and field trips

Faculty duties:

  • Data entry
  • Updating calendars and coordinating meetings
  • Maintaining files and updating records
  • Booking conferences, travel, and accommodation for team members

Financial:

  • Preparing cash and cheque bank deposits
  • Processing credit and debit card payments

Qualifications:

  • 2 years administrative experience 
  • Legally authorized to work in Canada.
  • Highly organized
  • Strong problem solver
  • Ability to handle multiple tasks under pressure and with interruptions
  • Ability to work in an open office as part of a collaborative team
  • Polite and professional manner
  • Excellent attention to detail
  • Excellent verbal and written communication skills
  • Self-motivation and ability to complete work with minimal supervision
  • Strong computer skills plus willing to learn new software
  • A valid driver’s license and your own vehicle
  • Undergo a Criminal Record Check

This 1.0 FTE position is eligible for the School’s Group benefit plan, including matching contributions to the School’s Group RRSP Savings plan and tuition discount for enrolled children.
